Position: Event Officer
Reports to: Chief Action Officer
Location: Oslo, Norway (Hybrid work possible)
Contract: Temporary (March 2025 – October 2025, with potential extension)

 

Role Overview

We are seeking a dynamic and detail-oriented Event Officer to support the planning and execution of a major convening, scheduled for October 2025. This event brings together leaders in science, business, politics, and civil society to transform the global food system for the health of people and the planet.

The Event Officer will work closely with the Project Lead and cross-functional teams to ensure seamless event coordination, logistics, and delivery. This is a unique opportunity to contribute to one of the most impactful events focusing on healthy and sustainable food systems.

 

Key Responsibilities

  1. Event Planning and Coordination
    • Assist with event timeline ensuring all milestones are met
    • Coordinate with external vendors, partners, and stakeholders to deliver a high-quality event experience
    • Coordinate with internal staff to ensure clear communication and facilitate shared goals
    • Support on day-to-day preparations, including speaker logistics, travel, and accommodation
  2. Event Management
    • Support event production and on-site operations, including technical support
    • Oversee event volunteer program
    • Ensure safety and compliance standards are met during the event
    • Coordinate team logistics prior to and during the event
  3. Stakeholder Engagement
    • Liaise with partners, sponsors, and other contributors to facilitate event participation
    • Provide excellent communication and support to participants before, during, and after the event
  4. Administrative and Reporting Support
    • Maintain accurate event planning records, budgets, and expenses
    • Support post-event evaluation and reporting, incorporating lessons learned into future events and convenings

 

Qualifications

  • Proven experience in event coordination, preferably with international conferences or forums
  • Exceptional organizational skills with the ability to manage multiple tasks and deadlines
  • Strong communication skills in English; proficiency in additional languages a plus
  • Proficiency in event management software and tools. Graphic and copywriting experience a plus
  • Passion for sustainability, food systems, and EAT’s mission.
