Executive Assistant for EAT’s Executive Chair and Founder

Presentation of the role

The Executive Chair (EC) and founder of EAT has a busy national and international agenda and keeps a fast pace. We are looking for an Executive Assistant (EA) who is systematic, has good coordination and communication skills to support the EC and EAT management. High integrity and the ability to exercise discretion are prerequisites.

Organizational placement

The EA reports to the Chief Executive Officer (Tomas Alfred Røen).

Key tasks and responsibilities

  • Responsible for personal and executive matters of EC
  • Manage EC email and notify on important matters in a timely manner
  • Coordinate and prepare preparatory and background documents
  • Manage calendar and bilateral meetings
  • Plan travel and accommodation
  • Manage speaking commitments in support of both the Chief Communications Officer and the Chief Action Officer
  • Undertake ad hoc personal matters

 

Office operations / Office manager

  • Responsible for coordinating and recording minutes for board meetings, management meetings and staff meetings
  • Contact person for office maintenance, equipment management and procurement
  • Mail pickup and distribution
  • Work with dedicated team members on internal gatherings and events

 

HR- related responsibilities

  • Coordinate EAT’s HRM system (Simployer)
  • Organize employee farewells and anniversaries
  • Assist with contracts and archiving

 

The Assistant shall work according to the employer’s regulations and policies defined in EATs personnel policies.
